Emailing Invoices
Send invoices directly to facilities from ReliefBooks.
Once an invoice is finalized, you can email it directly to the facility without leaving ReliefBooks. No need to export a PDF and attach it to a separate email -- everything happens in one step.
Sending an invoice by email
- Open a finalized invoice from the Invoices list.
- Click Email Invoice.
- Review the recipient, subject, and message.
- Click Send.
The invoice is delivered to the facility's contact email address right away.
Customizing the email
Before sending, you can adjust the following:
- Recipient email addresses -- The facility's primary contact email is pre-filled, but you can change it or add additional recipients.
- Subject line -- A default subject is generated (including the invoice number), but you can edit it.
- Message body -- A default template is used for the email text. You can edit the message for this specific send without changing your template.
What the facility receives
The facility gets a professional email with your invoice attached. The invoice includes:
- Your business name and contact information
- The facility's name and details
- A full line-item breakdown with dates, descriptions, and amounts
- The total amount due and the due date
Everything is formatted cleanly so the facility can process the invoice without follow-up questions.
Invoice branding
You can customize how your invoices look by adding your business logo and brand colors. Set these up in Account Settings under the invoice branding section. Once configured, your branding appears on every invoice you send.
Email templates
If you find yourself editing the email message every time, you can customize the default template so it says exactly what you want from the start. Configure your default invoice email message in Account Settings.
Resending an invoice
Need to send the same invoice again? No problem. You can email a finalized invoice as many times as you need -- for example:
- The facility says they didn't receive it.
- You want to send a payment reminder.
- You need to forward it to a different contact at the facility.
Just open the invoice and click Email Invoice again. Each send is independent, so you can customize the recipient and message for follow-ups.
