Rate Cards
Define your billing rates for different types of shifts.
What is a rate card
A rate card defines how much you charge for a shift. You might have different rates for different facilities, shift types, or agencies -- for example, a standard weekday rate, a higher weekend rate, or a special rate negotiated with a particular agency. Rate cards keep these organized so you don't have to remember or re-enter them each time.
Creating a rate card
- Navigate to the Templates page from the sidebar.
- Click Add Rate Card.
- Fill in the details:
- Name -- a descriptive label (e.g., "Standard Hourly", "Weekend Rate", "Agency X Rate").
- Color -- for visual identification throughout the app.
- Billing model -- choose hourly, flat rate, or another model that matches how you bill.
- Rate amount(s) -- the dollar amount for this rate card.
- Click Save to create the rate card.
Assigning rate cards
You can assign rate cards at two levels:
- On a facility -- set a default rate card on a facility. When you create shifts at that facility, this rate card is automatically pre-selected.
- On a shift -- override the facility default by choosing a different rate card when creating or editing a specific shift.
This two-level approach means you only need to pick a rate card manually when the shift differs from your usual arrangement with that facility.
How rates flow to invoices
When you create an invoice from shifts, each line item's amount is calculated from the shift's rate card. The billing model and rate amount determine how the total is computed (e.g., hours worked multiplied by the hourly rate). If a shift doesn't have a rate card assigned, you can enter the amount manually on the invoice.
Editing and deleting
Click on any rate card to update its details. Existing shifts that already use the rate card keep their original rates -- changes only apply going forward. Deleting a rate card doesn't affect past shifts or invoices that referenced it.
